Our Approach to Refunds
Learning web development takes commitment, and we recognise that sometimes circumstances change. We've designed this policy to be fair to both students and our teaching team.
Requests are reviewed individually. We look at timing, progress made, and the specific situation before making a decision.
When You Can Request a Refund
There are specific windows during which refund requests can be considered. Outside these periods, refunds typically aren't available.
Early Withdrawal
If you withdraw within 14 days of payment and before the programme start date, a full refund is available minus a £50 administrative fee.
First Two Weeks
During the first two weeks of instruction, you may request a partial refund if you've attended fewer than three sessions. This accounts for material costs already incurred.
Medical or Emergency
Documented medical issues or family emergencies may qualify for consideration outside standard windows. Supporting documentation is required.
Programme Changes
If we make substantial changes to the programme content, schedule, or instructors that affect your ability to participate, you're eligible for a full refund.
What Doesn't Qualify
- Change of mind after attending more than three sessions
- Failure to attend scheduled sessions without prior notice
- Dissatisfaction with pace or difficulty level when appropriate placement guidance was ignored
- Technical issues on your end that prevent participation
- Requests made more than 30 days after the issue occurred
How to Request a Refund
The process is straightforward, but you need to follow these steps in order. Incomplete requests take longer to process.
Submit Written Request
Email support@synapseflareon.com with "Refund Request" in the subject line. Include your full name, programme name, payment date, and a clear explanation of why you're requesting a refund.
Provide Documentation
If your request is based on medical or emergency circumstances, attach relevant documentation. For other requests, explain what you've tried and when the issue arose.
Initial Review
We'll acknowledge your request within two business days and let you know if we need additional information. Most reviews are completed within five business days.
Decision Communication
You'll receive a written decision explaining whether your refund was approved, partially approved, or declined. If declined, we'll explain why and discuss possible alternatives.
Processing Payment
Approved refunds are processed within seven business days. The time for funds to appear in your account depends on your payment method and financial institution.
Processing Times and Methods
How quickly you get your money back depends on how you originally paid. Here's what to expect for each method.
Refund Processing Timeline
Refunds are always issued to the original payment method. We can't send refunds to a different account or use a different payment method than what was used for the original transaction.
If the original payment card has expired or been closed, contact your bank. They can usually redirect the refund to your current account.
Partial Refunds
Sometimes a full refund doesn't make sense, but a partial one does. Here's how we calculate what you get back.
Calculation Method
We base partial refunds on sessions attended versus total sessions in the programme. Material costs (typically around 15% of programme fees) are deducted, as these expenses are incurred upfront.
For example, if you attended 4 out of 20 sessions and paid £1,200, the calculation would account for the 16 unused sessions minus material costs and administrative fees. This typically results in around 70% being refunded in this scenario.
Administrative Fees
A £50 administrative fee applies to all partial refunds. This covers payment processing, enrolment management, and documentation costs that were incurred regardless of programme completion.
Special Circumstances
Life happens. We've had students face serious health issues, family emergencies, and unexpected job relocations. These situations are handled differently.
Medical Withdrawal
If you need to withdraw due to illness or injury, we'll work with you. We require documentation from a healthcare provider, but we're not looking for detailed medical information—just confirmation that you're unable to continue.
In many cases, deferring to the next programme intake makes more sense than a refund. You keep your progress and can resume when you're ready.
Family Emergencies
Serious family situations—illness, bereavement, or caregiving responsibilities—are grounds for consideration. We understand these things can't always be documented immediately, so we're flexible on timing for providing supporting information.
Financial Hardship
Unexpected job loss or financial difficulties are tough. While we can't always offer refunds in these situations, we can discuss payment plans, programme deferrals, or switching to a less intensive (and less expensive) option.
Important: No Refunds After Programme Completion
Once you've completed a programme or attended more than 75% of sessions, refunds are not available. At that point, you've received the substantial majority of the instruction and materials.
If you're unhappy with the programme, please raise concerns early. We can often address issues while you're still actively participating.
Changes to This Policy
We occasionally update this policy to reflect new payment methods, programme structures, or legal requirements. Changes don't affect refund requests for programmes you've already enrolled in—we apply whatever policy was in effect when you paid.
Significant changes are announced via email to current and recent students. The current version is always available on our website with the update date clearly shown.
